Coverage decides everything

Payroll is not a category where the best tool wins. The tool that handles your countries, your worker types and your filings wins, and the rest is secondary.

Check three things before you look at features: which countries it runs payroll in, whether it files taxes for you or only calculates them, and whether contractors are supported natively or bolted on.

The fees a plan page does not lead with

Per employee per month is the headline. Underneath it usually sit a base platform fee, extra charges per jurisdiction, off-cycle run fees, year-end form fees, and a charge for correcting a filed return.

Add them at your real headcount before comparing anything.

Where it touches the rest of the stack

Payroll sits between time tracking, HR records and accounting. A tool that pulls hours automatically removes a recurring manual step; one that exports a file you import elsewhere adds one.

Check the accounting direction too: some tools push journal entries, some expect you to key them in.

What to test

Run a parallel cycle if you can. At minimum enter the awkward cases: a mid-month joiner, a bonus, and someone whose tax status changed.

Payroll errors are expensive and slow to unwind, and demo data never includes the cases that break things.
